The Role Working in a fast-paced environment, you will provide dedicated and efficient PA support to two European directors. In addition, you will also have a role as administrative assistant, supporting other European members and teams with expense reports and meeting logistics as needed, as per your manager’s request. Key responsibilities · Providing a high standard of PA support · Complex diary management (Outlook), including ever-changing schedules and coordinating internal and external meetings, lunches and dinners · Managing complex, and often last-minute, international travel and accommodation arrangements · Meeting and greeting internal and external visitors at all levels of seniority; screening calls · Assisting in the coordination team events/seminars/forums and liaising with external vendors · Assisting with meeting logistics, such as ordering and delivering catering and negotiating room usage with colleagues · Handling confidential information · Preparing and submitting personal expenses for managers · Provide back-up cover for manager holidays and absences (and manager to cover yours). Person Specification: · Excellent level of English language (written and spoken). French, Spanish or other languages are a plus. · 2 years’ experience as assistant (team assistant; personal assistant;…) · Advanced working knowledge of Microsoft Word, Excel, Outlook and PowerPoint · Efficient, proactive, with a ‘can-do’ attitude · Enjoys small tasks, taking care of details · Excellent attention to detail, organisation and co-ordination skills · Works well and delivers under pressure · Demonstrable experience of working on confidential matters and the ability to be tactful and discreet · Customer focussed and builds strong working relationships internally and externally · Well-presented and professional, with a confident and friendly manner · Ability to supervise own workload and be self-motivated; able to plan ahead and make accurate judgement calls on prioritising work tasks · Flexible attitude to working hours, as required Why Hiscox?
