Portugal Homes, a leading estate agency with AMI Licence 14414, is currently looking for one full-time administrative assistant who will provide support to the Operations team. You will be expected to demonstrate a will to assist in all office needs and have a good posture in dealing with clients if necessary.
Requisitos do trabalho
Responsibilities

Maintain executive’s agenda and assist in planning appointments, board meetings, conferences, etc
-
Attend meetings and keep minutes
-
Receive and screen phone calls and redirect them when appropriate
-
Make travel arrangements for executives
-
Handle confidential documents ensuring they remain secure
-
Maintain electronic and paper records ensuring information is organised and easily accessible
-
Conduct research and prepare presentations or reports when assigned
-
Insert data information onto Customer Relationship Management system
-
Welcome visitors and clients, either in person or on the telephone
Requirements
-
Proven experience in an administrative role
-
Proficient in MS Office and “back-office” software (e.g. Hubspot)
-
Familiarity with basic research methods, reporting techniques, be cost-effective when placing orders or doing purchases for the company

Up-to-date with advancements in office gadgets and applications
-
Excellent organisational and time-management abilities
-
Integrity and confidentiality
-
Fluent in English and Portuguese
